Develop and Lead Operations

As Practice and Operations Manager in both Melbourne and New Zealand, I focus on business operations including management of financial resources, human resources, technology, marketing, risk management, job project management, workflow, budget and profitability. 

Managing project delivery: 

  • Standardise project process & production workflow for team

  • Pioneered contract governance policy and process including commercial terms of trade, templated scopes of work, quoting process and financial controller responsibilities such as job profitability tracking, staff time tracking and utilisation monitoring

  • Agile-based project management including daily rituals such as stand ups and scrum meetings

  • Manage multiple projects at the same time, lower resource costs over time, meet agreed project delivery standards

  • Use powerful project management tech stack including Asana, Trello, Slack, Jira, Smartsheet, WorkflowMax

  • Ensure fee-earner time keeping and WIP is managed

  • Deliver job gross profit to 40% benchmark for all projects produced.

Managing financial resources: 

  • Manage and report on business budget, forecasting and cashflow

  • Manage purchasing, accounts payable, accounts receivable, client invoicing and payroll via Xero

  • Manage key partnerships with accounting firm, tax agent, insurance agent, research and development grant’s consultant

  • Offset business costs with delivery of Research and Development Grants totalling $210,000 and AusTrade Export Marketing Development Grants totalling $260,000

  • Manage staff and contractor disbursements and reimbursements.

Managing human resources: 

  • Lead recruitment process

  • Manage team onboarding process

  • Maintain staff and contractor contractual records

  • Manage process and register of staff performance appraisal and professional / personal development

  • Managing leave requests and balances, payroll in line with employee contracts and entitlements

  • Supporting managers to regularly review fee-earner utilisation and productivity.

Marketing and promotions: 

  • Pioneered and promote use of CRM and sales funnel system, Pipedrive

  • Develop and implement online brand presence including website, eDMs, online advertising, landing pages, posting subject matter expert content.

Managing technology resources: 

  • Manage external IT service provider

  • Provisioning of computer hardware and manage support contract

  • Manage cloud-based storage system, Dropbox and Egnyte.

Managing facilities and office resources: 

  • Established New Zealand office including lease management, fit-out, recruitment, IT set-up, cloud-storage setup and day-to-day running of the New Zealand operation

  • Lead a safe and healthy workplace

  • Office supplies budget and ordering

  • Manage cleaning services, repairs & maintenance, utilities, access and security, fire and safety services

  • Administer lease agreement and liaise with Property Manager / Landlord

  • Maintain assets register
